Welcome to our Student Records Management system !!! SRMS is a role-based access system - There are primarily four roles namely Students, Parents, Faculty members and Administrators. Users are granted these roles when you import students/faculty/parents through the Bulk user add facility in the Administrator section of SRMS.
Depending on the role of the user, one can access various features of the SRMS. There will be ONE Student Records menu item which when clicked takes you to the home page of SRMS. The home page will provide sub-menus to access various features depending on your role.
Administrators will have a "bulk add" facility that allows them to add/modify/delete students, parents and faculty members in bulk quantities. There is a simple comma separated format to specify users - either you can type it in, or you can supply a file which has multiple SRMS users defined, one line per SRMS user. Students are identified by a Student ID number.
Faculty members will have a data import facility using which grades can be imported. Each faculty member can take ownership or one or more Courses or Subjects (Eg: Physics, Chemistry etc). There can be one or more examinations conducted for a course (Eg: I Term, II Term, III Term, Final), for a particular year (Eg: 2008). The marks obtained and maximum marks possible for each of these, per student are entered into an XML file format and the file is uploaded to the system.
The XML file can also contain optionally, private comments for each student and public comments for each examination. Of course, the faculty member can add the private and public comments after the file is uploaded using the SRMS user interface.
Although one can theoretically prepare a single file to cover all classes and subjects and students, it is recommended that we prepare one per subject per class. This reduces the probability of error while doing data entry.
Once the mark list and grades are imported, parents can view their student's marks/grades and students can view their own marks and grades. Students, Parents, Faculty members and Administrators can access various features of the Student Records system from this page. Of course, you must first login to access the features. Authenticated users will see a set of menu items appropriate to their role displayed. Administrators will have a "bulk add" facility that allows them to add/modify/delete students, parents and faculty members in bulk quantities. Please pay attention to the format as described in the corresponding page. Faculty members will have a data import facility using which grades of one or more students can be imported. Typically, mark list along with course, student and faculty information iare entered into a grade import file, which must conform to a predefined XML standard. Once the mark list and grades are imported, Faculty members can view/edit their students' marks, parents can view their student's marks/grades and students can view their own marks and grades. Faculty members can give additional messages for all students or an individual student which can be viewed by the student as well as the parent.
